Coordinator, Meetings and Sponsorship



Responsibilities include hands-on logistical and financial oversight of all Association meeting and event activities, ensuring the highest quality and attendee satisfaction.  Solicit event sponsors and exhibitors and coordinate Continuing Legal Education (CLE) credits processing.  Recruit new sponsors, manage and maintain current sponsor relationships and monitor payments.  Provide support for Association’s projects and staff as directed. Reports to the Executive Director.



Coordinate all aspects of pre-, post-, and on-site meeting logistics to ensure the highest quality of customer service is achieved. Coordinate with the Executive Director to negotiate terms of contracts with sites for programs and events. Organize monthly board meetings and track attendance. Create and monitor all program and event budgets. Market programs and events to attendees, vendors, exhibitors, and sponsors through various media channels. Answer inquiries regarding meetings and events. Collaborate with the Education and Program Committee (EPC) chair(s) following meetings and events to analyze outcomes and to develop strategies to enhance future events. Monitor CLE processing to ensure that requirements are met. Review monthly financial statements and discuss event and program related revenue and expense variances with ED. Manage all aspect of the SeminarWeb (online education) program, including suggesting seminars, contacting selected speakers, and approving marketing materials for members. Design marketing materials. Market and distribute seminar materials. Recruit new sponsors, manage and maintain current sponsor relationships and monitor payments.



This position requires successful meeting planning experience in an association setting. Must have superior writing and editing skills in addition to excellent communication, customer service and problem-solving skills. Must be an assertive person with excellent negotiating skills, but also a team player. Must be a self-starter who is able to work independently. Must be highly organized and be able to manage multiple projects simultaneously, meet required deadlines, and produce high-quality work.Proficiency with MS Word, Outlook, Excel, and Adobe InDesign required.  Experience with AMS/CRM or related database software. State-wide travel required. Bachelor’s degree required.
